ACYF 2019 Terms and Conditions


This is a legally binding agreement between you, the parties you represent and Harvest Australia Pty Ltd (Harvest). Please take the time to read through the following terms and conditions carefully. By confirming a travel package, you accept the terms of use contained in this agreement on behalf of yourself and the parties you are authorised to represent.

  1. RATES:
    All prices quoted by Harvest Australia Pty Ltd are in the local currency for Australia (AUD) and are current as at the 11th February 2019.
  1. TAXES:
    The Goods & Services Tax (GST) is included in all quotations and confirmations.  Other taxes may apply and will be advised at the time of quotation or booking confirmation, as included or payable direct.
    Service charge and gratuities are not included in any prices except where indicated in the quotation.
    Use of Harvest’s online booking site may require you to register and provide certain data to Harvest, its affiliates or its suppliers. As a condition of using Harvest’s online booking site, you represent and warrant that:

    • the personal information you provide is true, accurate, current and complete, and you are entitled to provide such information; and
    • you will maintain and promptly update the personal information held by Harvest to keep it true, accurate, current and complete

    If you provide any information that is untrue, inaccurate, not current or incomplete or Harvest or its affiliates have reasonable grounds to suspect that such information is untrue, inaccurate, not current or incomplete, we have the right to suspend or terminate your account and refuse any and all current or future access to and use of the Harvest online booking site.

    By using Harvest’s online booking site, you warrant to us that you are at least 18 years of age and possess the legal authority to enter into this agreement and to use the site in accordance with all Terms & Conditions herein. Those under 18 must be represented by a parent, legal guardian or approved Group Organiser.

    You agree to be financially responsible for yourself and all parties you represent when using Harvest’s online booking site. You also warrant that all information supplied by you or members of your group in using the site is true and accurate. Without limitation, any speculative, false or fraudulent reservation or any reservation in anticipation of demand is prohibited. You agree that the reservations facilities of Harvest’s online booking site shall be used only to make legitimate reservations or purchases for you or for another person(s) for whom you are legally authorised to act.

    You understand that abuse of the travel services reservation facilities of Harvest’s online booking site may result in you being denied access to such facilities. You must keep secure any means of identification that we may provide to you in order to access the site. Only Group leaders may use their unique user name and password to access the site. The Group Leader may not pass their log in details on to any other party to access the site, to view availability or confirm bookings. The misuse of the unique log in will result in your booking being cancelled and the Group Leader’s access will be subsequently terminated.

    Any booking made or order placed by you, whether through Harvest’s online booking site or otherwise, shall be deemed an offer by you to purchase the relevant items subject to these booking conditions.

    All prices listed are guaranteed once deposits have been received. Prices will otherwise remain subject to change due to unforeseen factors beyond Harvest’s control.

    1. A per person deposit is due at time of booking. All prices must remain subject to change until deposits are received by Harvest. Any Deposits not received within 14 days after the booking is approved will result in the booking being automatically cancelled.
    2. Full balance of payment must be received no later than 2nd September 2019
    3. Payments made by credit card will incur the following credit card fees:
      – American Express: 2%
      – VISA and MasterCard: 1%
    4. Bookings made after 2nd September 2019 will be subject to Airline and Hotel availability and increased pricing. Full payment will be required within 7 days of confirmation.
    Please apply to Harvest for cost estimates for single rooms. Subject to availability at time of booking.
    Up until the 2nd September 2019:
    Deposit is non-refundable.
    From the 2nd September 2019 to the day of Departure:
    The full package cost will be charged for any cancelled passengers.All cancellations must be advised in writing. All deposits and payments forfeited from cancellation are not exchangeable as payment towards new bookings that may be required at a later date.
    Passenger name changes will be permitted up to 2nd September 2019 for a change fee of $100 per change. Any name changes after this date will not be permissible and therefore deemed as a full cancellation resulting in forfeiture of the full per person package cost. Should passenger’s First Name and Surname on final ticket not match the precise spelling on passenger’s photo ID (to be presented upon check-in), Harvest will allow a spelling error correction (not name change) at no cost up until 7 days prior to your outbound departure date.
    Individuals may extend their stay with the addition of pre or post travel. Additional costs may apply. Not applicable within 30 days prior to travel.
    • Any changes to an individual travellers confirmed / deposited booking will incur the following costs –
    • Up to the 2nd September 2019 – $100.00 per person per change plus any costs or penalties imposed by Harvests Suppliers
    • From the 3rd September 2019 to 2nd October 2019 – $200.00 per person per change plus any costs or penalties imposed by Harvests Suppliers
    • From the 3rd October to day of departure – $300.00 per person per change plus any costs or penalties imposed by Harvests Suppliers
    Unused services offered as part of these packages are non-refundable.
    Harvest Australia will allocate groups to airlines / hotels as per the allotments held.  In certain circumstances additional cost supplements will apply when rooming requirements demand specific separation of participants based on age / gender mix or preferred privacy.
    All ACYF registered participants should hold basic insurance coverage for the festival week in Perth.  Domestic Travel insurance cover is therefore strongly recommended.
    Harvest shall act solely in the capacity as your agent in this transaction and shall utilize our judgment and expertise in attempting to provide, on behalf of your organisation or group, the services described herein. Services provided are subject to the conditions specified by the subcontractors and suppliers. This agreement and our transactions will be governed by and interpreted in accordance with the laws of New South Wales, Australia and you submit to the exclusive jurisdiction of its courts. Our responsibility is limited to the exercise of reasonable diligence and care on the part of the personnel and representatives in supplying the services described herein.Harvest does not accept any responsibility for default causing loss or injury to persons whether by negligence or otherwise on the part of the principal providing any facilities for any person taking advantage of the services described in each tour. Harvest is not liable for any loss suffered by any person or any additional expense caused or occasioned by delay, change of aircraft service, alteration to any other travel service, illness, injury, strike, civil disturbance, terrorism, quarantine, flood or other disturbances of whatsoever nature interfering with, altering, or adding to the cost of the service requested or booked. Harvest is not liable for any dissatisfaction the client may have with the properties, service or event management outside their control. The above exclusions of liability are subject to any statutory liability which unresolved may not be excluded by law. Unresolved difficulties must be conveyed to Harvest Australia Pty Ltd in writing with any supporting documents within 30 days of return to your home city.Harvest is an independent contractor and may take and pay commissions, discounts or rebates relating to the services described herein.
